Installing Delete#

Get Delete running in your HubSpot portal so you can start automating record deletions safely.

Requirements#

You must be a Super Admin in your HubSpot portal to install Delete.

Installation Steps#

Initiate the Install: Navigate to the OrangeMage Apps page and click on Add Delete to HubSpot. You will be redirected to the HubSpot OAuth authorization page.
Select Your Portal: Choose the HubSpot portal where you want to install Delete.
Grant Permissions: Review the requested permissions. Delete requires delete access across all standard and custom objects to function. Click Connect App.
Ready to Use: Once the OAuth flow completes, Delete is active. The “Delete Record” workflow action becomes available immediately — no additional configuration is required before your first workflow run.

Accessing Delete#

Delete does not have a standalone dashboard for daily use. Once installed and configured, it operates entirely within the HubSpot Workflows tool as a Custom Action.

Installing Redactify#

Getting started with Redactify is a quick process that takes only a few minutes.

Requirements#

You must be a Super Admin in your HubSpot portal to install Redactify.
Ensure you are logged into your HubSpot account before beginning the installation.

Installation Steps#

Initiate the Install: Navigate to the OrangeMage Apps page and click on Install Redactify. You will be redirected to the HubSpot OAuth authorization page.
Select Your Portal: Choose the HubSpot portal where you want to install Redactify.
Grant Permissions: Review the requested permissions. Redactify requires access to read and update engagement records (emails, notes, tasks, meetings, calls) to perform its redaction duties. Click Connect App.
Configuration: Once installed, you will be redirected to the Redactify settings page within your HubSpot portal to configure your redaction patterns.

Post-Installation#

Once installed, Redactify runs entirely in the background. It will automatically listen for new engagement records and scan them based on your configured rules.

Requirements#

You must be a Super Admin in your HubSpot portal, or a user your Super Admin has granted install rights, to complete the OAuth flow.
To edit Dedupify settings after installation, your HubSpot user must have the Integrations permission with Write access. Users without it can view settings but cannot save changes.

Initiate the Install: Navigate to orangemage.ai and click Install Dedupify. You will be redirected to the HubSpot OAuth authorization page.
Select Your Portal: Choose the HubSpot portal where you want to install Dedupify.
Grant Permissions: Review the requested permissions. Dedupify requires read/write access to the CRM objects it manages — Contacts, Companies, Deals, and Tickets. Click Connect App.
Land on Settings: After OAuth completes, you are redirected to the Dedupify settings page inside HubSpot. From here you activate object types and configure your first matching rules.

Note: Dedupify is installed from orangemage.ai, not from the HubSpot App Marketplace.

Redactify’s power lies in its flexible configuration. You decide exactly what sensitive data to detect and how the system responds when it finds a match.

Redactify ships with no active patterns. A freshly installed portal redacts nothing until you add rules. Using Delete in Workflows#

Delete is designed to be triggered exclusively via HubSpot Workflows. This allows you to use HubSpot’s powerful enrollment triggers to define exactly which records should be deleted, and when.

Adding the Custom Action#

In HubSpot, navigate to Automation > Workflows and create or edit a workflow.
Set your enrollment triggers (e.g., Lead Status is Unqualified and Last Activity Date is more than 365 days ago).
Click the + icon to add an action.
Scroll down to the Connected Apps section and select Delete.
Choose the Delete Record action.

When configuring the Delete action, you must choose how the record should be deleted. The available modes depend on the object type being enrolled.

When you add a field rule to a match rule, you pick a property and Dedupify applies the right comparison logic for that field type automatically. You never choose an algorithm. Strong identifiers — email, phone, domain, LinkedIn URL, and external/CRM IDs — make reliable anchors for any rule. When a rule is built on at least one strong identifier, it tends to score Good or Strong and produces far fewer false positives than name- or text-only rules.

Every match rule has two thresholds: one that controls what you see in the review queue, and an optional second one that lets Dedupify merge pairs automatically when confidence is high enough.

Sealed Audit Trail#

Compliance requires not just protecting data, but proving that you have protected it. Redactify provides a comprehensive, sealed audit trail for every redaction event.

What is Logged?#

Whenever Redactify detects sensitive data and executes an action (Redact, Clear, or Delete), an immutable record is created in the audit log. The log captures the following metadata:

Record ID: The unique HubSpot ID of the engagement record that was altered.
Timestamp: The exact date and time the redaction occurred.
Matched Patterns: The specific rules that triggered the action (e.g., Built-in: SSN or Custom: Internal Project Code).
Applied Action: The action taken by Redactify (Redact, Clear, or Delete).
Originating User: Information on who originally created the engagement record (if available).

Where the Review Queue Appears#

Your review queue is accessible in two places that share the same experience:

The Dedupify settings page — the Duplicates tab shows all open candidates across an object type in one place, ideal for bulk review sessions.
Individual CRM records — the Duplicates card on any contact, company, deal, or ticket record shows candidates specific to that record. Useful when you spot a potential duplicate while working in your CRM.

Safety Rails & Auditing#

Automated deletion is powerful, but it carries inherent risk. A poorly configured workflow trigger could inadvertently wipe out a large segment of your database. Delete is built to throttle itself and leave a paper trail for every action it takes.

Per-Request Rate Limiting#

Delete caps how fast delete tasks can be enqueued to HubSpot. When a workflow enrolls a large batch of records, Delete does not fire them at HubSpot all at once — it processes them in batches of 100 and rate-limits the enqueue rate to a steady, sustainable throughput.

How Scanning Works#

Dedupify finds duplicates through two complementary mechanisms: a full background scan that runs when you activate or update a rule, and continuous near-real-time monitoring that catches duplicates as your CRM changes.

Is it possible to recover deleted records?#

Delete instructs HubSpot to delete the records. For “Standard Delete” operations, depending on your portal settings, HubSpot may retain the records in a native recycle bin for a limited period (often up to 90 days) before final erasure. During this window, a Super Admin may be able to restore them natively in HubSpot. However, if you use the “GDPR Delete” mode, the deletion is permanent and immediate, and the record cannot be recovered.

Frequently Asked Questions#

What types of data can Redactify detect?#

Redactify ships with a recommended pattern library covering SSNs, credit cards, API keys, bearer tokens, EINs, phone numbers, and common PII keywords. The library is not active by default — you copy the patterns you care about into Redactify’s settings during install. You can also add custom regex patterns for proprietary formats or industry-specific identifiers.

Is the original data stored anywhere?#

No. Redactify permanently redacts the sensitive information from the record and provides a sealed audit trail for compliance purposes. The sensitive text itself is never stored by Redactify or OrangeMage.

How Pricing Works#

Dedupify is priced by capacity — the number of records across the object types you have activated.

Frequently Asked Questions#

Which records can Dedupify deduplicate?#

Dedupify supports Contacts, Companies, Deals, and Tickets. Each object type is activated and configured independently — you can run Dedupify on Contacts without activating it for Deals, for example.

Merging is within an object type only. Contacts merge with Contacts, Companies with Companies, and so on. Cross-object merging is not supported.

Does Dedupify merge records automatically?#

No, not by default. Every new match rule starts in review-only mode — all candidate pairs require manual approval before anything is merged.
